These Terms of Service describe the conditions for using ScoringX at score.techchefs.biz, operated by Ontime Setup Sdn Bhd ("we", "us" or "the operator"). Please read them alongside our Privacy Policy before creating an account or using a personal scoring pass.
1. The service
ScoringX provides tools for golf-event setup, player entries, flight planning, QR scorecards, score recording, calculations, leaderboards, result review and playing-history claims. Some features depend on configuration, connectivity or a third-party provider and may not be available for every event. ScoringX currently does not collect payments through the application; any course bookings or event fees are arranged separately with the relevant organiser or provider.
ScoringX is a record-keeping and calculation tool. It does not replace a competition committee, course operator, golf governing body or rules official. Entered playing handicaps are event inputs, not a certified World Handicap System calculation or official Handicap Index.
2. Accounts and authority
Provide accurate account information, keep credentials private and tell us promptly if you suspect unauthorised access. You must have the legal capacity and necessary authority to use the service. If acting for a club, company or event organiser, you must be authorised to enter and manage its information. Appropriate parent/guardian involvement must be arranged where a participant cannot provide the necessary authorisation.
Google sign-in is optional when enabled. Linking an existing account requires authentication; sharing an email address or phone number does not automatically establish ownership of an account or historical event entry.
3. Organiser responsibilities
Organisers are responsible for their event configuration, course snapshots, player details, handicap inputs, competition rules, permissions, start plans and final decisions. Check that flights and group sizes are permitted by the course. Tee times, double-tee plans and shotgun allocations are planning tools, not a guarantee of pace, daylight, course access or freedom from crossover congestion.
Before uploading or entering information about others, provide appropriate notice and obtain the permission or other authority required to do so. Enter only information needed for the event. Respect shared and reassigned phone numbers and do not use a number alone to claim someone’s identity. Review leaderboard visibility and the information in printed/exported materials before distributing them.
4. Personal passes and scoring permissions
A personal QR pass grants the access attached to that pass. Anyone possessing it may be able to view or edit the relevant scorecard. Keep it private, distribute it only to intended participants and ask the organiser to revoke or replace a compromised pass. A pass does not certify the legal identity of its holder.
Use only your own pass or permissions explicitly granted by the organiser. Flight-scorer permission applies to the relevant flight; it does not grant general organiser access. Do not attempt to access another organiser’s contacts, another player’s records or a different event without permission.
5. Scores, results and disputes
Players and scorers must check the selected player and hole, record actual played strokes separately from penalties and distinguish an unplayed hole from a picked-up hole. Penalty descriptions are recording aids and do not decide whether a golf rule applies. Incomplete rounds and provisional standings are not official finishes.
A saved confirmation means the server accepted the entry; a failed or offline attempt is not a submitted score. If another scorer changes the same hole, review the conflict before correcting it. Offline synchronisation is not currently supported. Organisers should keep an appropriate paper or other contingency process.
Submitting a card locks player editing for review. Organisers may verify, return, correct or change result status with the relevant audit process. Finalisation and reopening follow event controls. Guest confirmation is not a certified electronic signature. The organiser or competition committee resolves competition disputes and determines the official event result; service or security issues can be reported to us.
6. Historical records
A history claim must relate to your own participation. Where available, phone verification is one part of the process, not proof of all previous uses of a number. A phone-based claim also needs an eligible personal event pass or the relevant organiser’s approval. An organiser-reviewed account-email link requires the player's acceptance from a verified account. Accept only your own rounds. Shared-number ambiguity and conflicting ownership require review. We may decline a claim or request further proportionate verification; original event records are not automatically merged or reassigned.
Optional player profiles and avatars can be created, edited and removed in the service. Use an image you are entitled to upload. Profile details are separate from original event entries; removing a player profile does not close the sign-in account or erase scoring history. Contact us for broader account or privacy requests.
7. Acceptable use
Do not submit knowingly false scores, impersonate another person, upload information without authority, distribute another player’s pass, harvest contact information, send abusive material or use the service unlawfully. Do not bypass permissions or request limits, introduce malicious files, interfere with availability or probe systems without authorisation. Report suspected vulnerabilities privately through our contact details.
8. Your information and content
You retain any rights you hold in information you provide. You authorise us to host, process, calculate, display and share that information only as needed to provide the service, implement the organiser’s authorised settings and meet the purposes described in the Privacy Policy. This does not give us unrestricted ownership of player information.
Public-by-link leaderboards can be viewed by their link holders. Organiser exports, printouts and screenshots may be distributed outside the service. Requests for correction, deletion, anonymisation or account closure can be made using the Privacy Policy contact process. Some score or audit facts may need to be retained for event integrity or applicable obligations; relevant limitations will be considered and explained.
9. Availability and third-party services
We aim to operate ScoringX with reasonable care, but do not guarantee uninterrupted availability, error-free calculations for incorrect inputs, continuous connectivity or delivery by every email/SMS provider. Maintenance, network issues and provider changes can affect the service. Verify important event settings and results and maintain a suitable contingency plan.
Google, hosting, email and any enabled SMS provider operate under their own terms and privacy arrangements. ScoringX does not control their account restrictions, consent decisions or delivery outcomes.
10. Restrictions and ending use
We may restrict access reasonably necessary to address misuse, a security incident, a legal requirement or a material breach of these terms. Where practical and appropriate, we will explain the reason and offer a way to raise a concern. Event organisers separately control their event’s scoring permissions and participation.
You can stop using the service and request account closure through the contact details below. Stopping use or disconnecting Google does not automatically remove event records, organiser exports or backups. Applicable access, correction and privacy requests remain available.
11. Responsibility and applicable rights
Responsibility for loss or damage is determined by applicable law and the circumstances. To the extent permitted by law, we are not responsible for an organiser’s independent event decisions, inaccurate information supplied by users or failures of networks or third-party services outside our reasonable control.
Nothing in these terms excludes or limits rights, remedies or liability that cannot lawfully be excluded or limited, including mandatory consumer or personal-data rights. These terms do not impose a contractual damages cap or require you to waive a statutory right. Raise service concerns with us first so that we can investigate; this does not prevent you from using an applicable regulator, court or other lawful remedy.
12. Changes to these terms
Changes will be published here with an updated effective date. Material changes will be brought to users’ attention through the service or another appropriate channel, with any additional agreement obtained where required. Check the current terms before organising a new event.
